Step 1: Test each entry point
Use your normal website on a phone. Call the main number during business hours, call after hours, and submit a test form. If you run ads, confirm that the number or form shown on a live ad leads to the same controlled process. Mark every inquiry as a test so your team does not treat it as a real sale.
- The number rings the intended destination.
- Missed calls produce an identifiable callback task or appropriate response.
- Form submissions reach the correct inbox or CRM.
- Confirmation messages accurately say what will happen next.
- After-hours callers hear an accurate statement of service and availability.
Step 2: Check the handoff
Inspect the actual record, not just the automated thank-you screen. Record the lead source, arrival time, first meaningful response, owner, next action and disposition. An automatic receipt does not prove that a person followed up.
- A named person or team owns every new lead.
- Escalation is defined for emergencies and out-of-scope requests.
- No appointment is promised without a real calendar or human confirmation.
- A response or booking stops the relevant follow-up sequence.
- Opt-outs and incorrect numbers are handled.
Step 3: Review recent quotes
Pull a small, representative sample of open estimates from the last 30–90 days. Look for the date of the last contact, clear customer intent, responsible owner and next step. Don't automatically message old contacts without checking consent and the context of the relationship.
Simple scorecard
For each entry point, record Test passed / Needs attention / Not applicable. Measure response time and count the number of leads that reached a real person or valid booking process. Repeat the test after every major website, CRM, phone or campaign change.
Fix the highest-impact break first
If forms vanish into an unmonitored inbox, repair routing before increasing ad spend. If nobody knows who owns a lead, assign ownership before adding more automated messages. If the lead arrives correctly but the office can't accept the work, solve scheduling or capacity before buying traffic.
Is a fully managed system a fit?
We work with established businesses that have meaningful customer value and enough capacity to serve more customers. The Growth System is a complete managed engagement, not an individual SEO or software subscription. Advertising spend and metered AI phone/text usage are separate.
